Sponsorship Booking

Event Guide & Adverts

Please send through your event guide entry to Claire Huppertz by the 31st May 2012. The Event Guide will be included in the delegate packs handed to all attendees at registration.

If you have an advert being placed in the Event Guide, please send the artwork to Claire Huppertz by the 29th June 2012. For a half page advert it should have a 5mm bleed at A5 landscape size and for a full page advert there should be a 5mm on A4 portrait size. These can be accepted in any common digital format. 

Platinum sponsors receive a full page advert, Gold sponsors receive a half page advert and Silver sponsors can choose between a half page advert or an insert into the delegate pack.

To book an advert slot will cost £550+VAT for a half page, please contact Claire Huppertz if you are interested.

'Paper' inserts in Delegate Packs

If you are putting an insert in the delegate bag, Claire Huppertz needs to be advised of what you intend putting in (i.e. a brochure, postcard, CD, pen etc.,) by the 29th June 2012. AGI reserves the right to reject any proposed insert if it is considered unsuitable and request an alternative. Inserts need to be sent to the venue by 5pm on the 17th September and to be labelled with this delivery note. Late deliveries risk rejection with no refund, because delegate packs would already have been prepared and re-boxed for handout at conference registration.

Stand Information

Bronze - The area allocated will include room for a small table, I chair (or equivalent), a pull up banner and space to talk with people. The largest display board you are able to use is 1m wide.

Silver/Gold - The area allocated includes room for a table, 2 chairs, (or equivalent), a pop up banner or pull up banner(s) and space to talk with people. The largest display board you are able to use is a 3m wide curved pop up banner

Platinum - The area allocated is approximately 4m2.

Please note: If the display is too large you will be requested to remove it. Please don't expect to be permitted to encroach into fellow sponsor's space or walkways.

Delivery

If you are sending any stand equipment to the venue by courier, please label it with this delivery note. Experience in previous years showed that poor labelling of some sponsor's deliveries led to temporary loss of items and difficulty in tracking them down. Please do not embed inserts for delegate packs inside stand equipment boxes.

Set up

Access to the venue can be gained from 1500 on Tuesday 18th September. All stands must be set up by 0830 Wednesday 19th September.

Storage

The Loading Bay, at the back of the exhibition room, will be used as storage for the duration of the event.

Power/AV etc

There are power sockets available for each stand, however, please bring an extension cable with you as not every stand is next to a socket. The conference centre is covered by wireless internet. Main exhibition room lighting is only to be set and adjusted by hotel or conference staff.

Breakdown

Breakdown of stands will be allowed after 1630 on the 20th September.  The exhibition area must be clear by 1800 on the 22nd September.

Floor Plan

A floor plan will be available in August.

Meeting Rooms

The call for papers will be open soon .

Delegate Lists

A delegate list detailing the name, job title and organisation of the attendees will be sent out to you by the 17th September, with a final updated list sent to you the week following the event. We are unable to included contact details on the lists.

Conference Passes

As a sponsor you are receive a number of passes with your sponsorship.

Delegate places:

Platinum: 3
Gold: 2
Silver: 1

The above places include icebreaker attendance, conference attendance on both days, hotel accommodation on the 19th and 20th September and a ticket to the party. Please supply the names of those taking these passes, on this form, to Claire Huppertz by the 31st August, these passes are non transferable.

Stand staff:
Platinum: 3
Gold: 2
Silver: 1

The above places include refreshments and lunch on both days and a ticket to the party (it does not include conference attendance or accommodation). Please supply the names of those taking these passes, on this form, to Claire Huppertz by the 31st August, these passes are non transferable.

If you wish to upgrade any of your company's passes please email Claire Huppertz.

Stand staff passes can be upgraded to the 2 day 1 night package £210+VAT per person
Stand staff passes can be upgraded to the 3 day 2 night package £340+VAT per person

Additional stand staff passes can be purchased for £50+VAT per person per day

No additional staff beyond these allocations can participate without registering for the conference. To book any additional places at the conference, please visit the AGI GeoCommunity '12 registration page.

Cancellation

If you cancel your sponsorship package you will incur the following charges:-
If you cancel before the 11th May 2012 - a £50 administration charge
If you cancel after the 13th May 2012 but before the 30th June 2012- 50% of the cost
If you cancel after the 30th June 2012 - 100% of the cost with no exceptions
